How to Edit Graphs in Excel: A Complete Guide

Excel graphs are rarely perfect on the first attempt. Whether you've dropped in a quick bar chart to visualize sales data or built a multi-series line graph tracking quarterly performance, knowing how to edit and refine that chart is where the real work begins. Here's a practical breakdown of how graph editing works in Excel — and what shapes the experience depending on your setup.

What "Editing a Graph" Actually Covers

Graph editing in Excel isn't a single action — it's a collection of adjustments that fall into a few distinct categories:

  • Data editing — changing which data the graph pulls from
  • Design editing — adjusting chart type, color schemes, and layout
  • Element editing — modifying titles, axes, labels, legends, and gridlines
  • Formatting editing — controlling fonts, borders, fills, and visual styling

Most users start with design and element editing. Deeper formatting comes into play when the chart needs to meet a specific standard — a client presentation, a report template, or a publication.

How to Access Chart Editing Tools

When you click on any chart in Excel, two things happen: the chart becomes selected (shown by a border with handles), and the Chart Tools tabs appear in the ribbon. In recent versions of Excel (2016 and later, including Microsoft 365), these tabs are labeled Chart Design and Format.

Editing the Chart Type

Right-click the chart → Change Chart Type

This opens a dialog showing all available chart categories — column, bar, line, pie, scatter, combo, and more. Combo charts (mixing two chart types, like a bar and a line on the same graph) are edited here as well, with options to assign a secondary axis to specific data series.

The chart type you can realistically use depends on how your data is structured. Scatter plots require numerical values on both axes. Pie charts work best with a single data series. Line charts assume a logical sequence across categories.

Editing Chart Data

To change what data your chart displays:

Right-click → Select Data

The Select Data Source dialog lets you:

  • Add or remove data series
  • Edit the data range for an existing series
  • Adjust the horizontal (category) axis labels
  • Switch rows and columns (useful when Excel guesses wrong about your data orientation)

You can also directly drag the colored selection handles on your spreadsheet — when a chart is selected, Excel highlights the source data in the cells, and those ranges can be resized by dragging.

Editing Titles and Labels

Chart Title: Click the chart title text box to select it, then click again to enter editing mode. You can type directly, or link it to a cell by typing = followed by the cell reference in the formula bar.

Axis Titles: Add them via the Chart Elements button (+) or the Chart Design tab → Add Chart Element. Once added, click to edit the text directly.
